Reception & customer service recruitmentFront desk coordinator recruitment in Toronto and the GTA

A front desk coordinator runs the reception operation rather than just staffing it. Finch finds organized candidates who can manage schedules, visitors and other front desk staff.

What a front desk coordinator does

A front desk coordinator oversees the flow of people, bookings and information through your front desk. Compared with a receptionist, the role carries more responsibility: managing appointment schedules for several practitioners or staff, coordinating visitor and contractor access, handling billing questions, training or scheduling other front desk staff and making sure procedures are followed. It is common in clinics, fitness and wellness centres, property management offices, hotels and large corporate offices.

Because a front desk coordinator keeps schedules full and operations moving, mistakes affect both revenue and the client experience. Double bookings, missed check-ins and poor handoffs between shifts add up quickly. Finch screens for scheduling expertise, organization and the confidence to guide other staff. We also look at experience with your type of booking or property system, so the person you hire can take over the desk without lengthy retraining.

Hiring a front desk coordinator: common questions

What is the difference between a front desk coordinator and a receptionist?

A receptionist focuses on greeting visitors, answering calls and handling front-line requests. A front desk coordinator usually adds responsibility for schedules, payments, procedures and sometimes other staff. If your desk handles a heavy flow of bookings or needs someone to lead it, the coordinator title better describes the role and attracts more experienced candidates.

Can you find someone familiar with our booking software?

We name your software in the job advertising and ask about it during screening. Exact experience is a plus, but someone skilled with a similar platform often adapts quickly. Your shortlist notes which candidates have used your system and which have used comparable tools, so you can weigh that against their other strengths.
